Business Environment Challenges

One of Les Olson Company’s clients, a large medical provider in the U.S. that covers multiple states and has more that 38,000 employees, needed an economical way to track, print and scan patient records, while keeping them secure and HIPAA compliant. Additionally, the need for frequent printer supply replacements kept services expenses high.

Like many other organizations in the healthcare industry, this healthcare organization had a committee studying ways to reduce print and document management costs. Their committee reached out to us at Les Olson Company for a Sharp solution to increase efficiency and resolve its current print management challenges.

Technology Solutions

The committee strongly considered Sharp from the start, because of the low cost of ownership. They focused on Sharp’s new like of monochrome printers and MFPs, which offered a much lower cost of ownership than previous models the organization had deployed.

They began by testing proposed models in their testing center. During the weeks of testing, the proposed models met or exceeded their requirements for their healthcare facilities. Most importantly, the MFPs and printers integrated and performed flawlessly with the organization’s internal software, as well as PaperCut technology, which allows for tracking of print job activity and enhanced security.

After testing was complete, Les Olson Company installed 170 Sharp MX-B355W copiers with integrated PaperCut technology. We also installed 70 Sharp MX-M450P printers to replace some of the medical center’s current fleet of printers.

Proven Results

Overall, the organization has significantly lowered its cost of printing. In fact, over a 12 month period, the Sharp MFP changes have resulted in a total savings of nearly $17k. Additionally, the common supplies for Sharp MFPs and printers have simplified the managing of toner and maintenance. Using PaperCut, employees at the healthcare organization have also decreased their printing volume. As a result, the organization is more environmentally friendly.

There are several places inside of your copier where paper can become jammed. On your Sharp Copier, the touchscreen will show you an illustration of the machine’s paper paths, and where the misfeed has occurred. You can also tap the “check how to remove misfeeds” button on the screen for more detailed instructions on how to proceed.

CLEARING THE DOCUMENT FEEDER

This type of misfeed is usually very simple to clear. You should first lift the lid to check for any sign of paper near the edge of the lid. There is a roller you can spin to manually get the paper to roll out of that part of the lid. There is also a release button on the inside of the lid, which will release the bottom of the lid to expose the upper scanner. If you are unable to see the paper in the underside of the lid, there is a small compartment on the top of the lid you can check. It is accessible by a handle. Pull on the handle and the compartment will open up, allowing you to see any paper stuck inside. Once you have found the paper, removed it from the paper path, and closed the lid, your misfeed error should be cleared.[/cz_title][cz_image id=”cz_91944″ image=”14618″][/cz_image][cz_gap height=”25px”]

CLEARING THE RIGHT SIDE

If a misfeed has occurred on the right side of your machine, near the bypass tray, you can easily open up the right side of your copier to clear the page. Simply find the release lever and pull directly out. Once you have a view of the inside, you can look for the paper causing the issue. If you see the paper, but aren’t able to get it loose, you can feed it further through the paper path by manually turning the gear or lever to free the paper. Once the door is closed again, you should be able to pick back up where you left off with your copy/print job. One word of caution though, the fusing unit is located on this side of the copier. It can be very hot, so be careful not to touch it.[/cz_title][cz_gap height=”25px”]

TIPS TO PREVENT MISFEEDS

Fan the Paper

If you fan your paper before loading it, it prevents multiple sheets from becoming stuck to each other. If multiple sheets feed through at once, this can cause a misfeed.

Gently Close the Paper Trays

Slowly, but firmly close the paper tray when loading your paper. When you forcefully close the trays, it can cause the paper to skew, which can make it misfeed.

Use the Correct Settings

If you load a different type of paper from what was previously in the tray, be sure to check your settings and adjust them to account for the change in paper. Having the wrong paper weight or size for the settings can cause misfeeds.

Clean the Bypass Feed Roller

If paper misfeeds frequently occur when feeding envelopes or heavy paper through the bypass tray, wipe the surface of the feed roller with a clean soft cloth moistened with water or a neutral detergent.

Use the Right Paper

Though there are many types of commercially-available paper, the use of non-recommended paper in your machine can result in misfeeds, poor image quality, and even damage to your device. Check your user manual for specific paper recommendations.[/cz_title]

HP has recently developed a set of recommendations with a team of board-certified infection preventionists to disinfect office equipment and devices to tamp down potential pathogen transmission. These devices in your office are valuable tools for accessing and transmitting data, however disinfecting these devices is now an important component of environmental hygiene for infection prevention. Your organization should come up with a clear plan for routine cleaning and disinfection of the devices and accessories. Clearly communicate who is responsible for these tasks, and provide the appropriate training.

General Guidelines:

• Presaturated disinfecting wipes are recommended for cleaning, rather than spray-on disinfectants applied to a cloth, to avoid dripping of the solution into the ventilation or other points of ingress, which can damage the equipment.
• Fibrous materials like paper towels and cloths should not be used for cleaning and disinfection of the equipment to avoid scratching the displays.
• The use of keyboard covers does not replace the need for cleaning and disinfection.
• Routine cleaning and disinfection of the computers and displays should start with the top of the display monitor, proceed to accessories, and finish with the cables. Ensure that disinfecting wipes remain wet during the entire application.
• Turn off the equipment to avoid electrical shock or damage to the components.

Cleaning

• If the equipment or device is visibly soiled, it should be cleaned following these steps, prior to disinfection.
• Perform hand hygiene
• Remove soil from the device or accessory with disinfecting wipe or a water-dampened cloth (microfiber, chambois, or static-free cloth recommended)
• Allow device to air dry.

Disinfecting

• Perform hand hygiene.
• Disinfect all exposed surfaces of the computer and display, including the accessories.
• Disinfect the surface of the control panel and keyboard of the copier or printer.
  Ensure that the disinfecting wipe remains wet during this entire process, replacing if necessary.
• Ensure that the surfaces remain treated with the disinfectant for the contact time specified by the manufacturer of the disinfecting wipes.
• Allow to air dry.

It’s a little-known fact that can help keep a lot of frustration at bay in the future. The most common error codes copy machines display happens when you have a paper jam. On Sharp machines, this code is “H5-01.” We’re sorry to say that if you’re very familiar with this code, it might be time for your machine to be serviced as frequent paper jams are a sign there might be a bigger problem with your copier/printer.

However, for common errors like the H5-01 paper jam error message, you can use a general code to clear most errors — it’s the same code the pros use. Because paper jams and other errors do happen from time to time, it is good to know how to fix the problem and clear the error code yourself so you can get back to work faster instead of having to wait for our service technician to visit. The first thing you need to do is find out what the error means. For the common H5-01 error, for example, your machine is telling you it has detected five paper jams in the exact same place in a row. For issues like paper jams, your copier will shut itself down and will not run a print job until you have first cleared the paper jam and then cleared the error code.

To do this, you can enter a general “clear code” that can be used for simple, common errors, like the paper jam your are experiencing.
