Single sign-on now available for DocuWare Cloud

DocuWare supports Microsoft Azure Active Directory as an identity provider. DocuWare Cloud customers can now log in to DocuWare using single sign-on. Once a user has been registered with Azure Active Directory, a single login is enough to automatically log in to multiple parts of DocuWare like Web Client, the Desktop Apps, Configuration and Administration, as well as for user synchronization.

Access forms directly in the Web Client

The Web Client now has its own area for forms. The users see all forms for which they have user or administrator rights. With user rights, you can open a form as usual in a separate tab, fill it out, and submit it or call up the link to the form. Forms for which you have administrator rights can also be opened from here to be edited in the DocuWare Configuration. Keep the list of forms clear by hiding forms you do not need via the settings in the main menu.

Filter a select list in table fields

A select list contains predefined index entries a user can click on instead of entering them manually. When the entries are filtered, the select list only shows those entries that match the content of another index field.

 

These filtered select lists are now also possible for table fields. The entries of table fields can optionally be filtered via index fields or other table fields. New Configuration Options for DocuWare

Organization settings in DocuWare Configuration

The functions from DocuWare Administration have now been moved to DocuWare Configuration, ensuring that your DocuWare is always technologically up to date. Following the migration of file cabinets, user management, and stamps, now general information, such as the organizational GUID, and the language and time settings for automated processes have also moved – these can now be found in Organization settings. This new section is only visible to users with administrator rights of a DocuWare organization.

 

In addition, DocuWare Cloud customers can connect their organization to an identity provider under Organization settings > Security to enable single sign-on. Individual barcode settings

The settings for OCR (Optical Character Recognition) in DocuWare Configuration are now called Text and barcode recognition. Individual barcode configurations can be created in the new Barcode section.

 

The default settings for barcodes cover most possible uses of barcodes in companies. In addition, experienced users can now use DocuWare Configuration to conveniently adjust both the performance and quality of the barcode recognition that takes place in DocuWare Desktop Apps when scanning. So far, this option only existed via a settings file.

Select the Request file cabinet that you want to re-import on the overview page of the module by clicking the link in the Request file cabinet column. Prepare Request file cabinet for an electronic signature

Ensure that the file of an exported Request file cabinet can be electronically signed. By default, the zip file name of a Request file cabinet is automatically changed for the download. However, in order to be electronically signed, the exported file cabinet must be intact in every respect. Use the option Allow electronic signing after download in an export configuration to prevent the renaming.

New Workflow Engine

Ensures that your workflow tasks are controlled even faster and more reliably. This engine also allows easier handling if a workflow runs into an error.

DocuWare Desktop Job Processing

More Convenient User Management

From now on, users and their rights can be managed conveniently and clearly in the DocuWare configuration. In just a few clicks, a new user is created with a personal document tray and all rights required for their tasks. The rights can be given to the user as usual through their membership of groups and roles and by the assignment of functions, function profiles, and file cabinet profiles. Here you can also specify the dialogs and stamps that the user may need. If the new colleague has registered via the automatically sent registration mail, they can start immediately.

New Server Setup

Instead of selectively activating individual DocuWare components for installation, simply select from among three roles that the server machine in the DocuWare system should execute: provide services for clients, for background processing, or for full text processing. This also makes it easier to install large DocuWare systems on multiple server machines. Additionally, the upgrade of an existing system is simple and reliable, since a simulation is performed first. If it runs without errors, you can update your system with complete peace of mind. Otherwise, a detailed report will tell you what to do before the upgrade.

Perfect Information Capture Made Easier

Information capture is always the first fundamental step for document management and office automation. DocuWare offers a lot of options and tools to make this step largely automated, without time-consuming, monotonous data entry. With Version 7, there are many more new features, such as automatic indexing with Autoindex to simplified data entry in forms.

New Autoindex Interface

As part of the transition to a new, more modern technology, the Autoindex interface was redeveloped. Autoindex is now configured in the Index section of DocuWare Configuration, instead of in DocuWare Administration as before. In addition to significantly increased performance, especially when processing large volumes of documents, Autoindex now offers a very simple setup. All the settings you need to automatically complete index data from external data sources are laid out in a clear and comprehensible way.

Start Autoindex for Specific Documents

Documents that are fully indexed in the file cabinet from the outset can significantly speed up a workflow. With just one click, for example, you specify that Autoindex should start when a new document is stored.

▪ When an invoice is stored in DocuWare, Autoindex will start immediately and complete the invoice posting information with data from the ERP system.

Monitor and Automatically Change Index Entries

In addition to transmitting index data from external data sources, Autoindex can also be used to monitor index data from archived documents and to change it without specifying any other data source. This can be conveniently configured with the new Autoindex: Simply select the option Index with … fixed index entries under Source in the configuration: Application Autoindex searches.

Validation Service Checks form Entries

The validation service can now also be used for forms. This means that data entered into the form can automatically be checked for accuracy and even compared with external data sources. Only if the entries meet the criteria in the validation service the form will be submitted.

APPLICATION

▪ The validation service checks whether the customer number in the order form matches the customer name in CRM.
▪ In order to avoid duplicate registrations, the registration form will only be stored in the file cabinet if the entered email address is not yet available in DocuWare in combination with this registration.
▪ The validation service compares the current date of the submission with the user’s specified date of birth. Only if the user is of legal age will the registration be saved.

BENEFITS
▪ Only valid index values are stored in the file cabinet.
▪ If an entry does not meet the requirements, the user is immediately notified so corrections can be made.
▪ External data sources, such as CRM, are available for validation.

Input Masks for Form Fields

Formats help the user fill out forms correctly. The form will not be submitted until the inputs match the format definition.

Links and Formatted Text for Forms

Description text in forms make it easier to fill them out. You can format the texts so that even longer passages are easy to read. Important terms can be underlined, displayed in italics or bold, or paragraphs separated by alignment. It is also possible to include a link to further information.

▪ Embedding of further information for clarity, i.e. general business terms.
▪ Easy-to-use text editor enables faster input with needed emphasis.
Write Protection for Forms with Merge Forms
When you create a form that is linked to a merge form, during the configuration, specify that the completed forms cannot be changed once they have been placed in the file cabinet.

APPLICATIONS
▪ The draft of a lease is sent to the customer for approval. The form is read-only so that none of the draft entries can be changed.

BENEFITS
▪ Form protected against manipulation after storage in file cabinet.

Intelligent Storing

Connect to Outlook can use the unique message ID from the mail system for indexing. This ensures that an email is not stored multiple times. If no ID is found by the mail system, Connect to Outlook uses the sender and timestamp as a message ID.

APPLICATION
▪An email for a project is sent to several colleagues at the same time. In the past, all colleagues could archive this email which meant that the subsequent search caused confusion with all the copies that came up in the result list. Now with the new option, you ensure that the email can only be filed one time and since there are no duplicates in the file cabinet, you only get a real hit when you search for the email.

▪ Automatically prevent email duplicates in the file cabinet.
▪ Clear results when searching for emails.

Printer and Import configurations become “Document Processing”

You can conveniently store your documents in DocuWare. You can either print the documents with DocuWare Printer from your applications or scan documents, e.g. incoming invoices, and archive them automatically with DocuWare Import. Create and edit configurations for Printer and Import together in the completely redesigned Document Processing module in the DocuWare configuration. This is more modern and intuitive. You can switch between the scanner, folder, and printer-source types at any time.

New Features in the Document Processing Module

▪ New operator: When splitting pages, “Is not empty” is also available as an operator for text readout areas.
▪ More rules for automatic selection of the configuration. There are now three options for identification rules instead of the previous two. The storage profile is used if; all conditions are fulfilled, all file conditions and all content conditions are fulfilled, one condition is fulfilled, one of the files or one of the content conditions is fulfilled, all file or all content conditions are fulfilled and at least all file or all content conditions must be met.
▪ Import and export of configurations: Processing configurations are imported or exported as .JSON files. Configurations that were exported with DocuWare Version 6.12 or earlier as XML file cannot be imported with DocuWare Version 7.

More “Amount” Fields for Intelligent Indexing

There are two new fields for Intelligent Indexing: Custom Amount 3 and Custom Amount 4. Together with the already existing Custom Amount 1 and 2 field, there are now four different fields for the automatic reading of different amount types.

APPLICATION
▪ With Intelligent Indexing, you can now read up to four different amounts from invoices and use them as index terms. For example, in addition to the net amount and the gross amount, you can also use various tax amounts.

▪ More extensive automatic reading of relevant document content.
▪ Enables better data capture for further usage, i.e. reports.

Other Features & Improvements

Easier DocuWare Login with DocuWare Cloud

Logging in to the DocuWare Web Client has now become much easier for cloud customers. User name and password are sufficient. It is no longer necessary to specify the DocuWare organization, since each DocuWare Cloud customer system has a specific URL.

Close Scan Preview Even Faster

To close the scan preview, you now have an additional option. Simply click on the background of the interface. The Close button is also still available.

New names for workflow users

The names of the system variables have been renamed to be more user-friendly:
▪ The variable “Current user” is now called “Last decision user”.
▪ The variable “User of the task” is now called “Logged-in user”.

View document and history for completed workflow tasks
You can even display the document and the workflow history for a completed task that you open using a link received by e-mail, for example; in retrospect, all the decisions made can be followed.

Error management during automatic workflow decisions

If there is an error in an automatic decision when completing a task, the workflow designer receives a task with a description of the error and appropriate decision options:
▪ Repeat activity: the activity goes through the workflow again.
▪ Finish workflow: the activity fails and the workflow finishes.
▪ Continue with activity XY: the failed activity is skipped and the system goes to the next activity.

With DocuWare Version 7 the conversion to HTML5 technology is almost complete and therefore also the move of most modules into the DocuWare configuration. For more clarity, additional categories have been added and the modules rearranged:

With the new Audit Reports, you have full transparency of what is happening in your DocuWare system. Be it at the document, file cabinet, organizational or system level – with the appropriate authorization, you can see, for example, who changed which settings or when they stored the documents. The free version of Windows 10 was available up until July 2016, but Microsoft recently released an exciting new update.

 

To celebrate the 1-year anniversary of Windows 10, Microsoft has announced some major updates to the new operating system. The update is free for all Windows 10 users and includes some fantastic new features, based on feedback from some of the 350 million users of Windows 10. There are plenty of great new features, here are just a few of our favorites to help enhance productivity.

 

Windows Ink

For all of us who’ve embraced a digital, paper-free lifestyle, many of us still haven’t outgrown our need to hold a pen in our hand. Taking notes, writing down quick thoughts, bringing ideas to life with a sketch; these are all things people still like to do with a good old-fashioned pen and paper. Why? Probably because there hasn’t been an intuitive way for us to do this on our electronic devices. In fact, students have been proven to better retain information when they write it out by hand.

 

Microsoft Ink attempts to bridge the gap between the digital and physical worlds by allowing users to quickly and easily take down notes, annotate on top of screen shots, or even draw.

 

New and Improved Cortana

You know Cortana, “your personal digital assistant”. Maybe you’ve found Cortana to be useful in the past, maybe not. Either way, Microsoft has made it easier to interact with her. You can now ask Cortana for help, even when your screen is locked; this makes Cortana more readily available to do things like answer questions, set reminders, or play music for you. Cortana remembers things like your flight details so you don’t have to; and if you’re more of a visual person, Cortana can even save images as reminders. Also, Cortana can seamlessly give you notifications across all Cortana-enabled devices.

 

Microsoft Edge Tweaks

Let’s be honest, in recent years Microsoft’s original web browser, Internet Explorer, wasn’t exactly the first choice of many internet users. The release of Microsoft Edge sought to change Microsoft’s role in the web browser world, and so far people seem to like it.

 

With the anniversary update, they’ve made some improvements to Edge that are sure to make users smile. For starters, there are some great extensions available to personalize your browsing environment including Pinterest’s “Pin It” button, Amazon Assistant, AdBlock, and LastPass. You can also now create pinned tabs to keep your most used sites and apps readily available.

 

And let’s not forget, some of the best features are the ones you don’t notice at all. To that point, Microsoft has made some power-saving improvements to Edge, minimizing the impact of background activities, consuming less memory, and using fewer CPU cycles.

 

Better Start Menu

Microsoft has kept us all on the edge of our seats, frequently making drastic changes to their Start Menu. Here’s hoping this latest overhaul of the Start experience will be more intuitive and efficient for users. The “most used apps” and “all apps” are now combined into a single view. The menu has also been elevated to the top of the user interface to reduce clicking and scrolling. Access your apps, settings, power, and file explorer all with one click.

 

And last but certainly not least, custom folders you choose to appear in the start menu will be immediately visible upon clicking Start; you’ll no longer have to click an additional button to access them.

 

Taskbar and Calendar

This latest version of Windows provides badge notifications for apps on your taskbar. Much like Apple or Android, you will now see small notifications on top of your app icons, with the number of unseen notifications, as well as other more specific symbols.

 

The date and time flyout is now integrated with the calendar app. Your daily events will now show under the calendar and when you need to view additional details, it’s as easy as clicking the event to open the calendar app. Creating appointments is equally easy, just click the plus button.

Don’t have the update yet? Never fear, according to Microsoft, the Windows 10 Anniversary Update is being rolled out to PCs in phases, starting with the newest machines. If you’ve chosen to have updates automatically installed on your device, you don’t have to do anything to get the Anniversary Update. Just sit back and let Microsoft do the work.

Import Configurations: Identification

With DocuWare 6.9, Import Configurations can now automatically identify which import configuration should be run. Your ERP system creates different types of documents and stores them in a directory as PDF files. DocuWare can now import files automatically, as it recognizes which import configuration (Invoice, Credit Note, Delivery Note, etc.) should run for each individual document.

 

  • A single import folder is sufficient

Document Preview

Display your scanned documents in a large preview before uploading them.

 

  • Quicker scan verification
  • Easier correction of scanning errors

Filtered External Select Lists

Select lists of local files for external databases can now be filtered. With filtered select lists, typographical errors and duplicate index entries are reduced and the company’s database stays consistent.

Removing Embedded Attachments from Archiving

In Microsoft Outlook, images can be attached to an email as a file or embedded in the message text. Connect to Outlook can generally remove embedded images from storage. This way, irrelevant embedded images such as logos, signatures, and ads can be blocked from being archived.

 

  • Only images from the attachment are archived
  • No irrelevant graphic elements are stored as separate files

Finding and Displaying Documents

Links to Documents or Result Lists

You are now able to get a direct hyperlink to an archived document or search result list with DocuWare 6.9.

Maintain the Zoom Factor in Document Preview

If you set a zoom factor for viewing a document, this is automatically saved for the following documents.

Display All Document Trays in Windows Explorer

All DocuWare document trays are now also displayed in Windows Explorer. This allows you to copy and move documents easily between the document trays, even in Windows Explorer.

 

“Open With” Command in Windows Explorer

The “Open With” command for documents, known from Windows, is now also available to you in DocuWare. You will now be able to use it to select the program for opening an archived document.

Web Service: Retrieving Several Parameters at Once

When configuring a web service, you can transfer and retrieve several parameters at the same time. This means considerably more information from an external data source.

Keyword Field for Forms

There is a new keyword field in which several text entries can be shown in a list.

 

  • Better overview of entries

Form Fields with Read Permission

In forms, fields with write protection can be released for read access only, allowing users to receive more information without being able to change it.

Default Decision for Workflows

In workflows, you can define a decision as a default, so that the task administrator does not need to select a decision every time.

The new version of DocuWare Mobile lets you edit the Workflow Manager tasks right from your smartphone.

    If you extend your system with a Content Server, you no longer need to assign existing file cabinets to this Content Server. The Content Server is automatically used for every file cabinet, ensuring a balanced load distribution.
    Once a select list has been created, you can assign it directly to a field at dialog level.
  • Usability Improvements – There is now a “First Steps” tutorial to help new customers get to know common functions. The Support & Training area of the DocuWare website can now be called up directly from the main menu and logging into DocuWare is now more convenient.
  • Optimized Processing of Incorrect Jobs
    • Manual Retry of Jobs – DocuWare Desktop Apps with retry failed import jobs automatically. It is also possible to restart the task(s) manually with the new button, “Retry Jobs”.
    • Export File Manually – If a document cannot be imported into DocuWare due to an error, you can export it in order to import it into the DocuWare system in another way.
  • Automatic Activities with Error Output – You can now specify an error path for every automatic activity in Workflow Designer.
  • No Login Needed for Workflow Designer – Workflow Designer now opens without a login dialog, and you no longer need to log in when you want to edit workflows.

One main change from the previous versions is the shift from Windows Client to Web Client. Yes. This is the first version without the DocuWare Windows Client. Be prepared though for the complete DocuWare feature available in the Web Client, enabling faster, more secure and convenient use of the latest technology.

 

Email Individual Pages from Document Viewer

No longer is it necessary to download the document and separate the pages before forwarding. Now enjoy the ability to email individual pages from a document straight from your document viewer. RECENT SEARCHES

Automatic storage of the last five search queries. Quickly find documents you’ve recently searched for in the filed cabinet with the Recent Searches feature.

STORAGE OF SEARCH QUERIES AS TASK LISTS ON THE DESKTOP

This new feature requires Task Manager License. It creates a desktop shortcut to all of your tasks in DocuWare. Individual searches can now be saved so that they are easily available to you – whether you wish to create a list in DocuWare, save a link on the desktop, or simply store the search as a favorite in the browser. In each case, it only takes one click to access the desired documents. This saves you from having to constantly enter the same search terms. It is also practical to save the search if the documents that you need to process can always be identified using specific index words.

Note: To be sure that you are always working with the valid versions, do not save documents locally – always run a search.

 

NEW FEATURES FOR LISTS

  • Counter for currently listed documents
  • Color coding for new documents entered into the system

OPTIMIZED STAMPS

Documents in lists will now automatically display the next document after you finish stamping the previous document, allowing you to quickly stamp and approve a series of documents for maximum workflow efficiency.

 

COPY TEXT INTO CLIPBOARD

DocuWare OCR’s each document stored. Now when you view documents, you can copy and paste the recognized text to the clipboard to be used in other external applications or export it to a CSV file.

 

DOCUWARE IMPORT

DocuWare Import now supports 3rd-party scanning XML imports. This new enhancement allows DocuWare users to use their existing front-end scanning software (such as Kofax, Drivve Image, or Fujitsu Paperstream software) to scan and automatically index documents for DocuWare. You can now import documents from external applications so that the indexing data is supplied with the documents as XML files in DocuWare Control format. Requires DocuWare Import.

NEW CONNECT TO OUTLOOK INTERFACE

DocuWare 6.6 includes a new interface for Connect to Outlook for an improved user experience. This applies only to users with the Connect to Mail or Connect to Outlook Module. Emails from Google Mail and Microsoft Exchange can be archived in DocuWare in either their original EML format or as a PDF.

Note: If emails are saved in original format EML, they do not have to be converted. This makes archiving much faster on the one hand and, on the other hand, excludes errors in displaying the converted email.

Intelligent Indexing Service can now be activated and configured centrally in DocuWare Configuration. This makes system administration easier when working with the intelligent indexing module. CLIP OR STORE

Intuitively move a document from the document tray to attach to a document in the result or task list using the new drag & drop function. For example – if you want to append the delivery note to an invoice that has already been archived, first scan the delivery note into your document tray. In the second working area in DocuWare, open a result list that contains the invoice. Now simply drag and drop the delivery note to the corresponding invoice. If needed, you can then adapt the order in which the documents are attached. Similarly, you can staple the associated delivery note to an account payable received as a workflow task.[/cz_title][cz_gap height=”25px”][cz_image id=”cz_36611″ image=”12091″][/cz_image][cz_gap height=”25px”][cz_title id=”cz_73721″ cz_title=””]

CONFIGURE IMPORT OR PRINTER RIGHT FROM DOCUMENT

Directly initiate an import or printer configuration from a document in the document tray. You can also use the corresponding document as an example document for the configuration. Note: The selected document must be accessed in the document tray by DocuWare Printer, or using the DocuWare Import or Scan app.

 

FREE SCAN APP

DocuWare‘s free scan app, PaperScan, is now also available for Android devices. This handy app allows you to scan your invoices, documents, receipts and any other pieces of paper. Once scanned, you can then upload them to Dropbox, Google Drive or DocuWare and easily share them with others. PaperScan is useful for easily reporting expenses. For example – You can scan your hotel invoices directly after checking out and load the document to your Accounting basket. This, of course, requires you to be connected to DocuWare.

 

PaperScan uses the advanced processing power found in the latest, top-of-the-range Android devices to trigger our unique automatic scan feature. We are working hard to support further powerful devices in future releases.
