How can you tell if your talking to a toner pirate?

  1. Typically they will make their first call to your office to ask for the model numbers of your copy and print equipment. Later, they will call back, appearing to have a knowledge of your company’s office equipment and supply needs. In many cases, they will pretend to be with the company you bought your office equipment from, making them seem trustworthy.
  2. A toner pirate will try to sound as official as possible, but if you question them or ask for more details, they can become impatient, pushy and rude.
  3. They will often tell you that you need to lock in your pricing today and try to pressure you into acting fast or committing to buy from them on the spot.
  4. Generally, they will try to sell toners for $400, $500 and sometimes even $600 each!

Important to Know: If used, toner supplied by a toner pirate may damage your equipment and void its warranty. Sometimes these scam artists will send you toners whether you ordered them or not and try to pressure you into paying for them.

 

How can I protect my company?

  1. Don’t get tricked. If you think you might be on the phone with a scammer, simply tell them that you will call them right back. Don’t call them back on a number they give you, instead call your equipment provider directly on their main line.
  2. Know your rights. If you receive supplies or bills for products you didn’t order, don’t pay, and don’t return the unordered merchandise. It is illegal for a seller to send you bills for unordered merchandise.
  3. Train your staff. It’s a good idea to train new and existing employees and volunteers on how to respond to telemarketers. Advise employees who are not authorized to order supplies and service to say, “I’m not authorized to place orders.” And have them avoid giving out the model numbers of your printing equipment over the phone.
  4. Only purchase from providers you know and trust. Authorized purchasers should be skeptical of “cold” or unsolicited calls and should not give out information on office equipment. They should feel comfortable saying “no” to high pressure sales tactics. Legitimate companies will probably not pressure you into making a snap decision.

Here’s 4 tips to help save money on printing supplies:

#1 Don’t get fooled by “Toner Pirates”

What’s a Toner Pirate? We have a great blog article found here where we discuss this topic in detail, but in short, they are supply scammers. They call your company probing for any information they can glean about your copier or printer. Then they call again, trying to make it sound as though they are your office equipment or supply provider. They might tell you it’s time to order more toner toner, or that they have special pricing for a limited time.

Let’s do some simple, quick math about their deceptive tactics. Let’s say a single toner costs $100, that means a case of 10 should cost roughly $1,000. If a Toner Pirate tells you they have a 40% discount special on a “case” they lead you to believe that you’ll be paying $600.00 instead of $1,000.00. Normally that would be an AMAZING deal. Well, when the two toners show up at your office you’ll quickly realize that you’ve paid $300.00 each. That’s 3 times the amount you should pay per toner in this scenario. In some cases they will even send you toner you never explicitly ordered and pressure you into paying for it.

The bottom line is this: Toner Pirates prey on well-meaning employees who are not aware of these scams. The best thing you can do to protect your business from becoming a target is to educate your employees about it. And remember, a reputable supply vendor will not call you to pressure you into purchasing supplies.

#2 Find a dealer that offers maintenance contracts that include supplies

First of all, a service contract will help you avoid Toner Pirate scams. If someone calls your business and says they have a great deal on toner, pretending to be you’ll easily know they are lying because your maintenance contract includes supplies.

More importantly, your office equipment dealer will negotiate a great cost-per-page rate up front, which includes parts, labor, and toner. That rate won’t change during your contract, and you lock in the savings for the entire life of your contract. #1 Group similar items & clearly label shelves

Few things are as frustrating as having to hunt around for that thing you are looking for only to find that it’s not where you left it last.  If you don’t have a place where similar items are meant to go, people will tend to put them wherever is most convenient for them. If your supplies are organized this way, it only takes a short amount of time before disorganization and frustration set in.

 

The best closets we see while delivering supplies for copiers and printers are the ones that clearly mark where things go, and where all the similar items are grouped together. One day after visiting a customer that normally had a junky supply closet, we were impressed by how organized it suddenly was. This sparked a great conversation, during which we learned that the customer took everything out of the closet and laid it all out on the floor, grouping items together in a manner that made organized sense.  After that was done, they labeled the shelves and placed each item on the corresponding shelf. The difference was drastic!

 

#2 Check on it regularly

That same customer smartly assigned an employee to keep track of the supplies and their closet. They told us that they checked on the closet every week at least once, sometimes more.  They found that by doing so, they made fewer trips to the office supply store, and were able to get things done faster around the office by ensuring employees could easily find the supplies they needed. Even better, they weren’t purchasing supplies more than they needed to because it was easier to tell which supplies they already had.

 

#3 De-clutter and standardize

Another customer who has an amazingly organized supply closet told us that they standardize on the tools their people use so they only have to carry one supply item in their closet for each task their staff performs. For example, each tape dispenser and stapler at their office is the same. You can see how much easier it would be for the person ordering supplies to simply remember one SKU for each supply item.
